Why a @gmail.com address is costing you clients

In the UAE's competitive freelance and SME market, first impressions happen before anyone reads your proposal. A @gmail.com email address signals that you haven't invested in your own business identity — even if your work is excellent.

Here's what actually happens when a corporate client or government-linked company receives your email:

🔍 IT security filters flag generic addresses. Many enterprise mail servers in the UAE (especially in banking, healthcare, and government-adjacent sectors) automatically route emails from @gmail.com and @yahoo.com into quarantine or spam folders — before a human even sees them.

📉 Perceived credibility drops. Research consistently shows that B2B buyers trust branded email addresses significantly more than generic ones. "nour@nourtailoring.com" reads as a real business. "nourtailoring@gmail.com" does not.

🔒 No email authentication = no delivery guarantee. Without SPF, DKIM, and DMARC records tied to your own domain, there is no cryptographic proof that you sent a given email. Spam filters penalise this heavily.

The good news: you can fix all of this today, for free, in under an hour.

Zoho Mail vs Google Workspace: which should UAE businesses choose?

Both platforms give you a custom branded email address (you@yourdomain.com). The core difference is cost and complexity.

Mdad's recommendation

If you are a UAE freelancer, solopreneur, or small business with fewer than 5 people, start with Zoho Mail Free. It costs nothing beyond your domain registration (roughly AED 40–60/year), delivers full anti-spam authentication, and you can migrate to Google Workspace later if you outgrow it — your email address stays the same.

What you need before you start

Before opening Zoho Mail, confirm you have the following ready:

1 A registered domain name

Your own custom domain

You need a domain like yourbusiness.com or yourbusiness.ae already registered. If you don't have one yet, you can register through Namecheap, GoDaddy, or Hostinger for around AED 40–75 for the first year.

2 Access to your DNS settings

DNS control panel access

You will need to log into your domain registrar's control panel and add DNS records. This is where you point your email to Zoho and add authentication records. It sounds technical — but you're essentially copying and pasting text into a form. This guide includes the exact values to enter.

3 30–60 minutes of uninterrupted time

The full setup takes under an hour

DNS changes can take up to 30 minutes to propagate globally. Plan to keep your browser tab open while records update. The actual clicking and typing takes about 15 minutes.

Step-by-step: Setting up Zoho Mail for your UAE business

1 Create your Zoho Mail account

Sign up for the Forever Free plan

Go to zoho.com/mail and select the Forever Free plan (scroll past the paid options). Sign up with a personal email address — this is only your admin account, not your final business email.

When prompted to choose your plan, confirm you select Free (up to 5 users) — Zoho will try to upsell you; the free tier is fully capable for most UAE small businesses.

2 Add and verify your domain

Tell Zoho which domain you own

Inside your Zoho Mail admin panel, navigate to Domains → Add Domain. Enter your domain (e.g., yourbusiness.com) and click Add.

Zoho will show you a TXT verification record. Copy the value — you will add this to your DNS in the next step to prove you own the domain.

3 Add the verification TXT record to your DNS

Prove ownership of your domain

Log in to your domain registrar (Namecheap, GoDaddy, etc.) and find your DNS Management or Advanced DNS panel. Add a new record:

Zoho Domain Verification Record
Name/Host TXT @ (or leave blank)
Value TXT zoho-verification=zb123456789.zmverify.zoho.com (Zoho gives you your unique value)
TTL 3600 (or "Automatic")

Return to Zoho Mail and click Verify. DNS propagation may take up to 30 minutes — if it fails immediately, wait 10 minutes and try again.

4 Add your MX records (email routing)

Route incoming emails to Zoho's servers

Still in your DNS panel, add these two MX records to direct all incoming email for your domain to Zoho's mail servers. Delete any existing MX records first to avoid conflicts.

Zoho MX Records — add both
Name MX mx.zoho.com  |  Priority: 10
Name MX mx2.zoho.com  |  Priority: 20
5 Create your email address

Set up you@yourdomain.com

Back in Zoho Mail admin, go to User Accounts → Add User. Enter your desired email prefix (e.g., "ahmed", "info", "hello") and set a strong password. Your professional business email address is now created.

You can add up to 4 more users on the free plan — useful if you have a small team or want aliases like support@ and sales@.

⚠️
Don't stop here — this is where most people go wrong

Creating the email account is only half the job. Without the authentication records in the next section (SPF, DKIM, DMARC), your emails from this new address will frequently land in spam — defeating the entire purpose. Complete the next section before sending a single email.

Configure SPF, DKIM & DMARC — the anti-spam triad

These three DNS records are what separate a professional business email from one that lands in spam. Each one does a distinct job. All three go into your domain registrar's DNS panel.

SPF — Sender Policy Framework

SPF tells receiving mail servers which servers are authorised to send email from your domain. Without it, anyone can spoof your email address — and spam filters know this.

Add this TXT record for SPF
Name/Host TXT @ (or your domain)
Value TXT v=spf1 include:zoho.com ~all
TTL 3600
💡
Important

If you already have an SPF record (it starts with v=spf1), do not add a second one. Instead, edit the existing record and insert include:zoho.com before the final ~all or -all.

DKIM — DomainKeys Identified Mail

DKIM attaches a cryptographic signature to every email you send. Receiving servers can verify this signature to confirm the email genuinely came from you and was not tampered with in transit.

Zoho generates a unique DKIM key for your domain. To get it: in your Zoho Mail admin panel, go to Domains → your domain → DKIM. Zoho will show you a CNAME or TXT record to add. It will look similar to this:

DKIM Record (values shown in your Zoho admin panel)
Name/Host TXT zmail._domainkey
Value TXT v=DKIM1; k=rsa; p=MIGfMA0GCSq... (long key — copy exactly from Zoho)
TTL 3600

DMARC — Domain-based Message Authentication

DMARC is the enforcement policy that ties SPF and DKIM together. It tells receiving mail servers what to do with emails that fail authentication — quarantine them, reject them, or simply report on them.

DMARC Record — add this TXT record
Name/Host TXT _dmarc
Value TXT v=DMARC1; p=quarantine; rua=mailto:dmarc@yourdomain.com; pct=100;
TTL 3600

Replace yourdomain.com in the rua field with your actual domain. This tells receiving servers to send DMARC failure reports to your mailbox — useful for monitoring.

💡
Start with p=quarantine, not p=reject

The p=quarantine policy sends unauthenticated emails to spam rather than rejecting them outright. This is the safer starting point. Once you have confirmed that all your legitimate email is passing DMARC checks (after 2–4 weeks), upgrade to p=reject for maximum security.

Verify your setup is working

After adding all DNS records, allow 15–30 minutes for propagation, then verify using these free tools:

1 Test SPF and DKIM

Send a test email to mail-tester.com

Go to mail-tester.com — it gives you a unique test address. Send a real email from your new Zoho address to that address, then click "Check your score." A correctly configured email should score 9 or 10 out of 10.

2 Check DNS records directly

Use MXToolbox to audit your records

Visit mxtoolbox.com/SuperTool.aspx and run MX Lookup, SPF Lookup, and DKIM Lookup for your domain. Each should return a green pass status.

3 Send a test to a Gmail address

The real-world inbox test

Send an email from your new business address to a Gmail account you control. Open Gmail, go to the email, click the three-dot menu → "Show original." Look for SPF: PASS, DKIM: PASS, and DMARC: PASS in the message headers. All three green means you are fully authenticated.

Frequently asked questions

Is Zoho Mail really free for UAE businesses?

+
Yes. Zoho Mail's Forever Free plan supports up to 5 users, each with 5 GB of storage, at no monthly cost. The only expense is your domain registration (typically AED 40–60/year renewed directly to your registrar). Zoho does not charge for the mail service itself.

What is the difference between Zoho Mail and Google Workspace?

+
Both give you a branded email address (you@yourdomain.com). Google Workspace costs roughly AED 22 per user per month and includes Google Drive, Meet, and Docs. Zoho Mail's free plan skips those extras but handles professional email reliably at zero cost — ideal for freelancers and small UAE businesses focused on keeping overheads low.

Will emails from my Zoho Mail address go to spam?

+
Not if you follow the full setup in this guide. The SPF, DKIM, and DMARC records are what authenticate your emails and prevent spam filtering. Skipping those records is the single most common reason business emails land in junk folders — even when sent from a paid mail provider.

Can I use my existing domain with Zoho Mail?

+
Yes. Whether your domain is on Namecheap, GoDaddy, Hostinger, or any other registrar, the process is the same: you add the Zoho MX records and authentication DNS entries through your registrar's DNS panel. Your domain itself stays exactly where it is registered.

How long does it take for DNS changes to take effect?

+
Most DNS changes propagate within 15–30 minutes if your TTL is set to 3600 (1 hour). In rare cases it can take up to 48 hours globally, but for UAE-based registrars you will usually see changes reflected in under an hour.

Can someone set this up for me if I don't want to touch DNS?

+
Yes — that is exactly what Mdad does. For a one-time AED 199 setup fee, the full configuration is handled for you: Zoho account creation, MX records, SPF, DKIM, DMARC, 3 email aliases, and a Loom walkthrough video showing you how to use your inbox. Message on WhatsApp to get started.
